XXXVII ONTA Reunion Viña del Mar, Chile October 17-21, 2005

The 37th Annual ONTA Reunion was an excellent meeting for the quality of the scientific program and broad international participation. The meeting was held at the Hotel Del Mar (Photo) on the Pacific Ocean. The location of the meeting favored the participation of many nematologists from South America. However, a significant number of members from North, Central America and West Indies attended the meeting. A broad representation of European Nematologists enriched the scientific quality as well. The location, accommodation, conference room and meals were superlative. The technical tour was well planned and provided the participants with a clear representation of the nematotological problems afflicting the grapevine industry in Chile. The demonstration of the damage induced to grapevines by dagger (Xiphinema index) and root-knot nematodes (Meloidogyne ethiopica) was impressive. The technical tour was concluded with an equestrian show and a Texas style lunch without beer, but with excellent wine.

BUSINESS MEETING

The Business Meeting was held on October 20, 2005 at 19:10 PM and was chaired by ONTA President Juan Carlos Magunacelaya. The most important decisions taken during this meeting were to:

1) Increase of ONTA dues $ US 25.

2) Accept the official invitation submitted by Alejandro Esquivel and Gustavo Fallas to hold the 38th Annual Meeting in S. José, Costa Rica on June 26-30, 2006.

3) Accept an informal invitation submitted from Maria Scurrah and Eleodoro Herrera to hold the 39th ONTA Meeting in Peru, in 2007.

4) Accept the election of Patrick Quénéhervé to ONTA Vice-President.

Complete details of the issues discussed at the Business Meeting are listed on the attached minutes prepared by ONTA Secretary Rosa Manzanilla-Lopéz.

From ONTA Officers Reports

The entire ONTA officer reports are posted on ONTA web site. Abbreviated versions of the reports are listed below.

ONTA Secretary, Rosa Manzanilla-Lopéz stated that she is updating the list of ONTA members. At the time of the preparation of the report only 72 active members renewed their membership. Twenty two new members jointed the organization.

ONTA Treasurer, Roberto Vargas Ayala stated that from Sep. 1, 2004 to Sep. 30, 2005 there was a positive balance of $8,512.29 (total credits $ 21,986.24 minus total debits $13,473.95). The treasurer pointed out that the balance does not reflects the disbursement of the cost of the last three issues of Nematropica, which were unpaid at the time of the preparation of the report. The costs of these issues may cause a negative balance if no additional dues and prompt payments of papers published in the journal are received.

REPORT OF ONTA SECRETARY, ROSA MANZANILLA-LÓPEZ

ONTA Executive Committee Meeting

18 October 2005

6:18-8:25pm; “salon Ejecutivo” (Hotel del Mar, Viña del Mar, Chile)

The meeting was started at 6-18pm. It was attended by Juan Carlos Magunacelaya (President), Aurelio Ciancio (Former Vice-President), Patrick Quenéhérve (new ONTA Vice-President), Renato Crozzoli (Former President), Rosa Manzanilla (Secretary), Roberto Vargas (Treasurer), Nancy Kokalis (Editor in Chief), Renato Inserra (Newsletter Editor), Soledad Verdejo (Former Senior Spanish Editor), Janete Brito (Business manager), Erwin Aballay (Chile Local Arrangements Committee), Alejandro Esquivel and Gustavo Fallas (Costa Rica Local Arrangements Committee).

Proposal by Dr Rodrigo Rodriguez Kabana

Before the meeting was started, Rodrigo Rodriguez-Kábana asked the ECM to consider a proposal that he formulated with Rosa Manzanilla-López. The proposal concerns the future of ONTA and a slight change to the name of the organization. Rodrigo emphasized the importance of expanding the geographical boundaries of ONTA to other tropical countries in addition to those of Tropical America. ONTA should become more global and should hold meetings in other tropical regions. These suggested changes may be a cause of concern to some ONTA members. However, the proposal deserves to be considered and discussed through annual or bi-annual meetings. Rodrigo suggested also the creation of ONTA Divisions (according to geographical regions) inside ONTA. He added also that a Committee should study the feasibility of this proposal. One or two representatives from other tropical countries, carefully chosen according to their outstanding Nematologist profile, could be invited to attend ONTA meetings to initiate this process. Rodrigo offered to defray some of the costs for these representatives, starting with the coming ONTA Reunion to be held in Costa Rica (June 2006).

Renato Inserra considered the proposal as a great idea and commented upon the changes that would be necessary to the present ONTA constitution. The analysis will include: future change of name for the organization and creation of ONTA Divisions. It was agreed that the ONTA acronym could not be changed.

Roberto Vargas brought about a former discussion over the issue concerning the ONTA Constitution that was celebrated in 1998. He volunteered to serve on the committee and to make the analysis of the constitutional changes required by the implementation of the proposal.

Janete Brito questioned the creation of regional committees (or Divisions). She pointed that there were too few people in ONTA to create the Divisions and to meet independently by regions. Dr Erwin Aballay expressed his concern about weakening ONTA by this change.

ONTA Executive Committee appointed a committee to assess the proposal. The candidates to form the committee were: Roberto Vargas, Rosa Manzanilla, Patrick Quenéhérve, Forest Robinson and/or Larry Duncan. Additional members will be appointed by ONTA President Aurelio Ciancio if is necessary.

AGENDA

Apologies

Jim Rich

Approval of last year minutes (2004) and members of the Executive Committee reports.

Other issues

Local representants. Janete Brito suggested to re-activate local representantives to help increase ONTA membership.

It was proposed that an ONTA delegate will be appointed per country and asked to be in charge of making personal contact with other ONTA members.

Fees

As a reminder to all ONTA members, dues were increased at the 2004 Annual Meeting in Mexico with the following schedule: 2005 – $20.00 U.S., 2006 – $25.00 U.S., 2007 and Beyond – $30.00 U.S. Multiple year payment of dues are also welcomed.

Nematropica posting charges

It was agreed that there would be an additional charge to subscribers and agencies that require air postage for Nematropica. The new costs will be updated and included in invoice forms sent to subscribers.

Nematropica labels

Prior to 2004, the former ONTA Secretary (Mrs Peggy King), prepared the labels for the printer of Nematropica . However, this was a special favour that Mrs King did on behalf on ONTA and due to geographical practicalities to prepare the labels on time and in the USA (where the printer is based). Janete Brito (Business Manager) will explore possibilities about the label printing cost for the journal if this task is commissioned to the printer. It was agreed to ask the printer of Nematropica for the cost of preparing the labels.

Editor in Chief (EIC)

Nancy Kokalis (EIC) listed some of the changes that she has so far implemented to speed up the editing process and publication of the manuscripts for Nematropica (e.g. reception of electronic versions and the use of PDF).

The EIC requested post addresses as complete as possible (e.g. including post code) to facilitate and ensure the delivery of Nematropica by post. The Business Manager (BM) will take care of the labels and the printer will do the labels. Addresses must be updated and sent to the BM and EIC by the Secretary.

Renato Crozzoli (former ONTA President) pointed out the importance of consistency in the editorial format for papers and research notes. He also mentioned the importance of having an abstract with written instructions for authors in both languages (Spanish and English). He also asked to consider how many research notes should be included per issue. He mentioned the need to look after proper translation of abstracts from English into Spanish. Dr Paula Agudelo, as Senior Spanish Editor, will be involved in this action but Roberto Vargas and Renato Crozzolli also offered help.

Nancy mentioned the preparation of a shorter issue of Nematropica in order to put the journal back on time.

The EIC also suggested the inclusion of an invited paper per issue (?) in Nematropica . Suggestions for candidates to write these invited papers will be welcomed.

Other points to be considered are the waiving of fees, costs of a publication in Nematropica and the impact factor that the journal has at present.

ONTA Meeting in 2006

Dr Alejandro Esquivel provided information regarding the dates for the next ONTA meeting in San Jose, Costa Rica (26-30 th June, 2006). He pointed out that some ONTA members, due to the proximity of dates with SON meeting in Hawaii (18-10 th June), have asked to consider moving the dates for the conference but that it would be very difficult at this stage to make any change. Different factors such as: the booking of the Conference hotel (it has already been made), the climate and weather conditions (e.g. rain and hurricane season) would leave a very small window of options (e.g. to held the conference in April or May) to make any change feasible. The potential impact of delegates attendance was assessed based on the number of delegates (e.g. from USA) that regularly attend ONTA annual meetings. It was also pointed the efforts that the organisers have been doing to organize the scientific program and invited speakers (e.g. Zullini from Europe). The poster for the conference with the official announcement of the dates for the conference will be ready in November. The program has been organized to combine excursions and a scientific program. Other considerations relevant to the meeting included: inviting people from other societies and regions; possibilities for agro and eco-tourism, reduced fees, etc. Gustavo Fallas is preparing the information for the web page so that there would be a link with the ONTA website. There were some problems to connect with the ONTA web site, and the display of pictures in it. Jim Rich will be contacted to try to sort out the link.

Future ONTA Meetings

During the meeting of 2004 (Puerto Vallarta, Mexico), CUBA offered to host the 2007 ONTA Meeting. Argentina has offered also to host in 2007.

It was agreed that country candidacies to hold the ONTA 2007 meeting should be proposed and voted on in the next ONTA Business Meeting (20 th October).

Australia will host the International Nematology Conference in 2008. However, this information needed to be confirmed through the Federation.

ONTA Newsletter

Dr Renato Crozzoli had accepted to be the Editor (Spanish) of the ONTA Newsletter.

Publishing costs

It was pointed out the need to have some money to support the publication of some papers. One possible source was to get support from the ONTA Foundation. The other possibility was to have the journal on line in the future.

Sustaining Members

There is a need to encourage the activities of the Sustaining Members and increase fund raising. The Secretary will contact Luis Payan.

The meeting was closed at 8:25pm.

ONTA Business Meeting

20th October 2005

7:00-8:00pm; “salon Ejecutivo” (Hotel del Mar, Viña del Mar, Chile)

The meeting was started at 7:00pm. The parliamentarian (Javier Franco) was appointed by Members of the Executive Committee presiding at the meeting (Aurelio Ciancio, Juan Carlos Magunacelaya, Rosa Manzanilla).

The session was opened and delegates informed of the approval of the minutes from 2004. The session was then opened to questions.

Erwin Aballay was asked how many members attended the meeting in Viña del Mar (Chile). The figure was around eighty, considering both registered delegates and other participants involved in the running the organization of the meeting.

Alejandro Esquivel gave a summary of ongoing arrangements for the next ONTA meeting (2006) in San Jose de Costa Rica. Posters were brought for display and distribution by members of the local arrangements committee, so as to promote the conference. The relevant information for the Costa Rica meeting will be ready in November and will be made available through the ONTA web site as soon as possible. The meeting will be held from the 26 th till the 30 th of June 2006.

Proposals to host the ONTA meeting in 2007

Three countries supported their candidacy to host the ONTA meeting in 2007: Cuba, Argentina and Peru.

Leopoldo Hidalgo reiterated the offer made in 2004 by Mayra Rodriguez on behalf of Cuba. The offer was also reiterated and made within the framework of other international phytosanitation Conferences in Cuba to be simultaneously held with ONTA, giving an opportunity to delegates to attend different events.

Susana del Toro presented the offer of Argentina. The meeting would be held in Mendoza (October 2007). This city hosted the ONTA meeting in 1998. To celebrate the ONTA meeting in Mendoza will give the opportunity to update knowledge, to present ongoing work and stimulate the training of human resources in nematology. The meeting will be organised by the Facultad de Ciencias Agrarias.

Maria Scurrah and Eleodoro Herrera supported the offer of Peru. It is 23 years since Peru hosted an ONTA meeting. If the proposal was accepted, then the organisers will obtain confirmation to support their case from the University and the Government.

Renata Tenente mentioned that there was confusion with a previous proposal by Brazil to host the ONTA meeting (2007).

Greg Noel mentioned that the last meeting in Cuba was very recent (2001) and that it may be better, after holding the meeting in Costa Rica, to have another meeting in the North and then in Cuba.

The delegates then voted. The results were as follows: Cuba (6), Mendoza (15), Lima (20). It was pointed out that if Lima could not get the local support of authorities (e.g. government, university, etc.), the conference would be held in Mendoza.

Other issues:

Javier Franco asked about the possibility of having a window in the ONTA web site for taxonomy. Julia Meredith noted that this issue needed to be discussed first with Jim Rich, who is in charge of the ONTA web site, because of the space that can be made available from the server of the University to ONTA.

Anther proposal was to invite Dr Wilfrida Decraemer to publish in Nematropica the paper she gave on the subject in the conference. Another suggestion to Javier included the possibility to explore the link with other journals to have access to the information that he was requesting.

The meeting was declared closed at 8:00 pm.
